Director of Operations and Finance

What We Need

Kairos is looking for a Director of Operations and Finance* that will join us at a critical juncture, as we separate from our fiscal sponsor. This role will be instrumental in maintaining responsible financial operations, while partnering with Kairos’ leadership in strategic decisions as we expand. This person knows how to approach operations with an organizing mindset, and understands how to hold a delicate balance between maintaining infrastructure and innovation to meet any new needs that may arise. This person is strategic, and capable of making a vision into a tangible reality. They are a creative problem-solver, and bring an ethos of care and rigor to their own work and the work of managing their team. They know how to not only work towards their growth edges, but can also support staff in working at theirs as well.

The ideal candidate will be committed to building relationships between and among the people of color who make up our network. They will be a patient listener with the ability to notice what is not being said. They must care about and actively work to address racial and gender justice.

The Director of Operations & Finance will report directly to the Deputy Director and work closely with the Director of Campaigns and Director of Organizing. This role will also manage and build out the Operations team.

General Duties

Finance and Accounting: Coordinate, improve and codify financial reporting processes. Manage outsourced finance and accounting firm, audit firm, and tax preparers to ensure that needed financial reports are regular and correct.
Tax and Governance: Manage tax and governance counsel to develop, establish, and implement tax and governance policies and procedures for Kairos Fellowship and Kairos Action, our c3 and c4 entities.
Political Compliance: Develop and improve internal compliance processes to ensure timely and accurate reporting of all political activity.
Fiscal Sponsorship & Separation Process Management: Work with the fiscal sponsor to oversee financial management, planning, and systems. Support the Deputy Director in preparing and guiding the organization through the spin-out process.
Strategy: Collaborate with the Senior Strategy Team in setting strategic goals for operational, organizational, systemized growth.
Organizational Development: Work alongside the Deputy Director in the organizational development and implementation of operational plans and processes.
Management: Hire, develop and manage the current and future members of the Operations team.

Job requirements
At least five years experience in operations, finance, or administration, with at least three years experience managing staff. Prioritizes growth and development through doing the work in managing staff and themselves. Skilled at prioritizing, analytical thinking, problem-solving and able to employ these in making sound organizational decisions, then implementing them. Understanding of non-profit organizations’ financial planning and scaling concerns.
Strong attention to detail – Skilled at managing multiple projects simultaneously; able to remain poised and effective while juggling competing priorities.
Demonstrated ability to work remotely in a highly collaborative environment that is at times in rapid-response mode, with humility, grace, and flexibility; able to bring joyfulness to the work, even in challenging moments. Direct and compassionate communicator with impeccable personal boundaries. Self-reflective, with a keen sensitivity to complex interpersonal dynamics. Nice to have skills + experience. Experience within Kairos network. Has an Organizing background. Significant work with tax and governance counsel to support the efficiency, efficacy and impact of a nonprofit organization. Has senior leadership experience. Experience in working in both nonprofit and for profit entities.

*Kairos does not expect candidates to check off each of these requirements or nice-to-haves. For aligned and well-qualified candidates with less experience, we would also be interested in bringing them on at the Operations Director position, with a clear trajectory for them to move into the Director of Operations and Finance role by the end of the year.*

This position will be open until filled, however, there is a priority deadline of April 28th. We are aiming for this position to have a start date in mid-May 2022.

Salary and benefits

This is a full-time, exempt salaried position. Kairos staff work roughly 40 hours a week, with the understanding that the schedule must flex to accommodate the necessary ebbs and flows of the work, such as multi-day trainings and breaking news moments that are crucial for our communities. The starting salary for this position is between $110,000- $120,000, commensurate with experience and your cost of living. Kairos offers cost-of-living and merit raises after you have completed one year at the organization and then on an annual basis.

Location

Your primary residence may be located anywhere in the United States; current staff are based in Woodstock (NY), Durham (NC), Chicago, Detroit, the Bay Area, and Seattle. Occasional organization-sponsored travel for conferences, Kairos trainings, partner meetings, and face-to-face staff gatherings will be required when it is safe to do so.
