Administrative Coordinator
Save the Harbor/Save the Bay is the region’s leading voice for clean water and continued public investment in Boston Harbor, the region’s public beaches, and the Boston Harbor Islands.

Save the Harbor has a committed and collegial full-time staff of 9 as well as enthusiastic and engaged part-time staff and consultants. Our team operates on a hybrid schedule, with the staff working in-person at our office on the Fish Pier twice a week on Tuesdays, Thursdays, and as needed and working remotely the rest of the week.
Position Summary
Save the Harbor/Save the Bay is looking for a full time Administrative Coordinator to help coordinate essential aspects of our office and program operations, including database management, donor stewardship, vendor relationships, and general office organization.
The Administrative Coordinator will directly report to the Director of Operations, Executive Director, and will work closely Development Manager to coordinate responsibilities in the following areas:
· Office Operations – The Administrative Coordinator is an essential part of our operations and keeping our organization running smoothly and efficiently. This includes all aspects of office management including booking meetings, staff scheduling, notetaking, managing office accounts and subscriptions, sending and sorting mail, generating invoices, managing vendor relationships, maintaining office supplies and inventory, organizing files and records, assisting with outreach and communications, and supporting staff on day-to-day needs.
· Donor Stewardship & Database Management – The Administrative Coordinator plays a key role in Save the Harbor’s communication and stewardship. The Administrative Coordinator works on the management and construction of donor mailing lists for annual appeals, thank you letters, and event invitations. They will work under the management of the Development Manager communicating with sponsors and tracking donations and grants. The Administrative Coordinator also manages our donor database, DonorPerfect, entering and updating records, maintaining code lists, and pulling records and information for staff. This position will also support donor relations through attending and helping to plan events.
· IT – The Administrative Coordinator acts as in-office support and will work with our IT consultant, NBM on troubleshooting basic issues such as internet and server connectivity, phone systems, printer/copier maintenance, email account back-end control, payment platforms, and other more advanced challenges.
· The Administrative Coordinator is one of Save the Harbor/Save the Bay’s core staff positions and plays an essential role in pursuing our mission and goals. This position offers the unique opportunity to engage in every aspect of our mission-based non-profit’s work, including advocacy and policy efforts, community outreach and programming. This is an entry level position with ample opportunity to pursue projects that align with mission related personal interests and with potential for growth within the organization.
Desired Skills/Qualifications:
· Proficient computer skills, including Microsoft Office, Adobe Creative Suite, Google Suite, Zoom, and Donor Management systems.
· Excellent administrative, organizational, research, time management, computer, verbal, and written communications skills
· Prior experience handling administrative responsibilities.
· Ability to represent Save the Harbor professionally and enthusiastically by phone and in person
· Strong initiative, problem solving and ability to prioritize without direct supervision
· Excellent attention to detail and ability to proof-read
· Proven ability to complete tasks in a timely manner under deadline pressure
· Ability to work independently and as part of a team
· A keen interest in key issues facing the city, the region, the nation, and the marine environment.
· Familiarity and experience with Customer Relationship Management Systems (CRMs)
· Having a car/MA license is a plus but will not deter you from getting the position
· Proficiency in Spanish, Haitian Creole, Mandarin and/or Cape Verdean Creole preferred, but not required.
Salary and Benefits
Salary starts at $40,000- $50,000/year depending on experience, and includes 100% employer paid health and dental insurance, plus 3% 401K contribution and generous vacation time.

· Leads and manages the Metropolitan Beaches Commission for the Massachusetts Legislature, charged with improving quality and equitable access to the Boston Harbor Region’s public beaches from Nahant on the North Shore to Nantasket on the South Shore.
· Strengthens Boston’s waterfront neighborhoods and the region’s beachfront communities by hosting and sponsoring 870 free Better Beaches events and programs on the region’s public beaches from Nahant to Nantasket since 2008.
· Connects over 35,000 youth and families each year with free Youth Environmental Education Programs that have introduced more than 260,000 underserved and low-income young people to the spectacular harbor we have worked so hard to restore and protect since we began them in 2002.
· Convenes and leads our Beaches Science Advisory Committee, which led the effort to transform the South Boston beaches into the cleanest urban beaches in America and is working to improve water quality at King’s Beach in Lynn and Swampscott and Tenean Beach in Dorchester.
