Meridian Institute has an immediate opening for a full-time Project Administrator to work in a hybrid fashion near either the Washington, DC or Dillon, CO office, or fully remote. As a hybrid member of both the Practice Team and the Finance Team, the Project Administrator is responsible for supporting many of the duties surrounding project administration, tracking the financial aspects of projects with complex requirements, and supporting teams to ensure project administration needs are met. Successful candidates will be self-starters with professional written and verbal communication skills, a high level of organization and attention to detail. Working at Meridian requires the ability to excel in a team environment, juggle multiple deadlines, and project teams.

The starting salary range for this position is $66,100 – $79,320. This is an exempt position. The Project Administrator is responsible for financial reporting and analysis, including multi-currency reporting, and management of organizational funder and project subgrantee processes. The position requires close working relationships with project directors and teams, the finance team, funders, subgrantees, and additional project partners. Typical areas of responsibility include:

  • Assembles and monitors project budgets, including: supports the project lead, develops project budget for upcoming year’s organizational budget in June of each year; conducts project reconciliation and reporting for both internal and external stakeholders; and gathers and analyzes data, organizes reports; prepares Project Finance Specialist to present findings to project teams, funders, and project steering committees.
  • Tracks and supports accounting functions in support of Meridian project awarded grants and program subgrants, including calculating staff time allocations for projects funded by multiple funders.
  • Administers contract and grant deliverables for a variety of client relationships (federal government, foundation, international and private funding sources).
  • Reviews funder grant and subcontract language in collaboration with General Counsel and the Subcontracts Manager to ensure agreements and processes are followed.
  • Serves as the main point of contact for subgrantee communications.
  • Administers project subgrantee process, managing the communication, reporting requirements, amendments, and payment processing of subgrants.
  • Creates, monitors, reforecasts, and develops reports for subgrantee budgets to ensure full execution.

ELIGIBILITY REQUIREMENTS:

  • Minimum five years’ experience in finance or accounting.
  • Knowledge and familiarity with accounting and reporting standards, experience in research as it relates to accounting issues.
  • Experience in project-based accounting, reconciliation, and best practices as well as financial analysis, contracting, and grants administration.
  • Experience supporting project financial audits and administering reporting, budget development and analysis, accounts receivable, and general ledger functions (including month-end/year end close process).
  • Highly organized with dedication to accuracy and attention to detail.
  • Ability to work independently and manage priorities effectively.
  • Ability and enthusiasm to work with people from diverse backgrounds.
  • Exceptional verbal and written communications skills and the ability to interact effectively with others, both internally and externally.
  • A high degree of proficiency with Microsoft 365 tools including but not limited to: AirTable, Outlook, Word, Excel (expert level), MS Teams, and SharePoint.
