About Rooftop Films

Founded as a non-profit organization in 1997, Rooftop Films is an innovative grassroots non-profit film organization based in Brooklyn, NY that has been rejuvenating cinema across the five boroughs for more than two decades. Our mission is to engage and inspire diverse communities by showcasing the work of emerging filmmakers in outdoor locations, helping independent filmmakers to produce new films, renting equipment affordably & supporting film screenings citywide at low-cost to artists and community groups.

Our signature program is the Rooftop Films Summer Series, a summer-long, outdoor film and performance festival that draws tens of thousands of attendees and features dozens of outdoor screenings of the best new films in the world, all taking place in a variety of uniquely scenic outdoor venues. Our daring programming and innovative and immersive events have been praised worldwide, and, via screenings and our Filmmakers’ Fund grants program, we have contributed to the development of new work by up-and-coming filmmakers who have changed the world of cinema.

About the Position

Rooftop Films has grown tremendously over the past several years, as we maintained drive-in and outdoor screenings throughout the pandemic, expanding our reach substantially. We are currently seeking a full-time Managing Director to oversee financial, management, and staffing aspects of Rooftop Films and work directly with the President and other senior staff to oversee outreach, fundraising, communications, and organizational operations.The Managing Director collaborates with the President on short and long-term organizational and financial planning. This position reports to the President.

ROLES AND RESPONSIBILITIES

LEADERSHIP / MANAGEMENT

  • Provide oversight on the financial and operations aspects of the organization
  • In collaboration with the President, develop all new logistical and operational initiatives, subject to the oversight of the Board of Directors
  • Long term strategic planning and business development
  • Work closely with the President and Board of Directors to ensure actions that organization’s strategy and policies are consistently supporting the mission, fiscal health, and effective governance
  • Manage staff and business productivity and efficiency
  • Conduct regular review of organization structure and identify areas that require new hires or restructuring
  • Hire and train senior staff and department managers
  • Implement Human Resources systems and policies
  • Conduct annual performance reviews
  • Manage Internal Communications to ensure a positive work environment
  • Develop a system of Rooftop Films values and code of conduct, and ensure that all employees act accordingly

FINANCE

  • Create and manage annual organizational and program budgets
  • Maintain un-audited quarterly financial statements for the organization (P&L, Cash Flow, Balance Sheet) with the Finance Manager
  • Oversee financial planning and systems (short term and long term) with the Finance Manager, including all banking, loan management, etc
  • Create financial reports and analyses for Board of Directors with the Finance Manager, when needed
  • Compliance with state and federal laws
  • Oversee Quickbooks Online bookkeeping (accounts payable and receivable, petty cash tracking, credit cards, reimbursements, quarterly sales tax filings, balance sheet maintenance, monthly reconciliations, etc) with the Finance Manager
  • Work with bookkeeper/Finance Manager on monthly reconciliation and monitor actual expenses and income for conformity to proper accounting standards
  • Manage and implement biweekly payroll for salaried staff and contractors with the Finance Manager
  • Oversee HR contracting, negotiate rates for PEO and other and HR programs, and work with our providers on all benefit implementation
  • Manage all RF insurance obligations (package, umbrella, workers comp, PFL/disability, health, auto, d&o, etc)
  • Approving and executing partner, sponsor, foundation, city and state contracts.
  • Staff liaison to Accountant regarding annual audit, taxes, etc. with the Finance Manager
  • Strong working knowledge of and experience with accrual accounting required.

EVENT PRODUCTION

  • Oversee the financial and logistical/operational elements of the Technical, Operations and Artistic Programming teams
  • Oversee the creation and compliance of departmental budgets for the Technical, Operations and Artistic Programming departments in collaboration with the Finance Manager
  • Work with all departments to create and streamline departmental systems
  • Oversee communication and coordination between the Technical, Operations, Artistic Programming, Rentals, Sponsorship, Communications, and
  • Development departments
  • Work the the President and Operations Manager to draft and execute contracts for partnership screenings and other event production.

DEVELOPMENT

  • GRANTS
    • Work with President and Development Manager to identify program areas for funding
    • Research and connect with new grant opportunities with President and Development Manager
    • Oversee the Development Manager to write grant proposals
    • Oversee the Development Manager to renew existing grants and write grant final reports
    • Build and maintain relationships with funders (invites to events, etc.)
    • Oversee the Development Manager on all grant budgets and reports
  • DONORS
    • Oversee the Development Manager in regards to maintenance and expansion of the donor base (invites, calls, meetings, etc.)
    • Identify new donors
    • Plan and oversee at least two annual fundraising campaigns (gala planning, crowd-funding, letter writing, emails, etc.) with the Development
    • Manager
    • Build and maintain relationships with high-level donors
    • With Finance Manager and Development Manager, reconcile Quickbooks with Development CRM
  • MEMBERS
    • Build and maintain member base (call for members, special events, announcements, perks, etc.) with the Development Manager
      Oversee the Development Manager’s processing of memberships and member/donor communications

SPONSORS

  • With the President, provide strategic direction on sponsorships, including setting sponsorship targets and identifying potential sponsors
  • Aid in negotiating terms and contracts of sponsorship deals
  • Oversee all departments to properly execute sponsorship and partnership agreements.

MARKETING / COMMUNICATIONS / AUDIENCE DEVELOPMENT

  • Lead and manage Marketing Manager and interns in marketing and PR initiatives
  • Oversee the Marketing Manager in development of the vision for marketing plans across various platforms and media
  • Oversee the Marketing Manager in developing, writing and implementing comprehensive annual marketing communications plan
  • Lead audience, member and stakeholder surveys, data analysis and reporting
  • Oversee the Marketing Manager in developing and executing an annual PR plan

TECHNOLOGY

  • Research, implement and upgrade office tech, processes and systems based on the changing technology environment

OFFICE MANAGEMENT

  • Oversee basic office management, or staff to do such
  • Rent, utilities, internet, locks, computers, office supplies, etc.

OTHER

  • Assist with selection of Filmmakers’ Fund recipients

REQUIREMENTS:

  • Proven experience as Managing Director or other managerial position
  • An expert multi-tasker with demonstrated experience with prioritizing projects of short and long term scope
  • Ability to create and implement new systems as needed to get work done efficiently and effectively with minimal supervision
  • Excellent organizational and leadership skills
  • Applicant should be a proactive, organized, detail-oriented person with excellent communication skills, with demonstrated experience with this type and level of work, ideally in the NYC non-profit arts sector
  • Strong working knowledge of and experience with accrual accounting required
  • Demonstrable experience in developing strategic and business plans
  • Strong understanding of finance and measures of performance
  • Familiarity with management best practices
  • Excellent communication, interpersonal and presentation skills
  • Outstanding analytical and problem-solving abilities

Start Date: May 2022

Compensation: $70,000 – $75,000/ year. Benefits Included. Commensurate with experience.
